Q: Where can I see the entire conference programme?

Q: What are the conference languages?

The conference is simultaneously interpreted into English, Finnish and Swedish. In addition to this the presenters can speak their Scandinavian languages – Danish, Norwegian and Icelandic.

Q: Can I submit an abstract to the conference?

The conference organized an open call for solutions during April-May 2010. On the basis of this, the programme of the conference was built upon. Therefore, we do not take in any abstracts anymore.

Q: I may be interested in exhibiting my products and services at the event, or sponsoring the conference. Is there an opportunity to do this?

There is a possibility to be part of the Market of Solutions on the 1.2.2011. For this, please, contact solutions2011@turku.fi

Q: Will I get the final conference program sent to me before the meeting?

Yes, you will receive through e-mail the final programme of the conference on the 17 of January 2011 together with the participation list.

Registration

Q: When should I register?

It is recommended to register as early as possible, as there are only 650 places available. It is also cheaper to register by the end of October 2010.

Q: What is the conference fee?

The conference fee depends on the time of registration. The earlier your register, the more favourable is the price. Please, see the price from

In addition to the conference, you also have a possibility to register for pre- and post events. The prices are shown in the price list and will be added to your conference fee. In case the pre or post event you have paid for will not take place, we will organise something similar or your money is refunded to you with 5 € reduction.

Q: What is included in the conference registration fee?

The conference fee includes programme with simultaneous interpretation into English, Finnish and Swedish, praxis on 1.2.2011, all meals indicated on the programme.

Q: What meals will be provided?

The conference provides 3 lunches, 5 coffee breaks and two evening dinners. Participants only need to cover the drinks during dinner on the 1.2.2011. All meals are a minimum of 80% locally produced and complemented with organic or fair trade products.

Q: Are there any subsidies?

No.

Q: When is the deadline for registrations?

The deadline of registrations is on 24th of January 2011.

Q: I am unable to pre-register - I can only register on the day. Is this possible?

Unfortunately that is not possible, due to the limitations of venue and catering.

Q: I am unable to come to the registration session at the start of the conference. Can I register at a later stage?

Yes, you can register at the information point in the Turku city theatre during the entire conference.

Q: Do I have to attend the entire conference?

You do not have to, but it is warmly recommended. The conference venue has limited number of seats (650) and we want to guarantee that all who want to participate the entire conference will have a seat.

Q: How do I get a group reduction on conference fee?

If you register a group of seven or more participants by 31st October at the latest, you are entitled to group reduction on the total price. Every 7th member of a group is free of charge.

Q: I have sent my registration on-line to the conference secretariat. When should I expect to receive confirmation?

If you register on-line, you should receive the confirmation during the same day and the in-voice within one week.

Q: I have registered but I notice that my invoice is not for the correct amount. What should I do?

Q: I have to cancel my place at the conference. Can a colleague attend in my place?

Q: I have to cancel my place at the conference completely, and no one else from my organisation can attend in my place. What do I need to do?

Send an e-mail or call to the secretariat. If the cancellation takes place before end of 2010 and you have already paid, we can return the participation fee until end of the year 2010 with 50 € reduction due to administrative costs.

Q: I am not yet sure if I can definitely attend the conference. Is it okay for me to register now and then cancel later, or just not turn up at the conference?

You can replace your participation by someone else. For this contact the secretariat at solutions2011@turku.fi OR
If you have already paid and no one else can attend on your behalf, we can return the participation fee until end of the year 2010 with 50 € reduction due to administrative costs. For this we need to receive your written cancellation by fax (+358 (0)2 2623425) or as an email at solutions2011@turku.fi before 31.12.2010. No refunds after this date.

Q: I need to cancel my place. Do you need to know the reason for my cancellation?

No.

Q: When do I need to pay my registration fee?

Within one month from the registration in order to get the participation fee of the time of the registration. Once we have received your registration, we will book a seat at the conference for you. If you have not paid within one month, the seat is no longer kept booked for your. Only by paying you are able to confirm a seat in the conference. The last payments need to be done by the 21 January 2011.

Q: I didn't book any optional extras (such as pre or after tours) when I made my original registration, but I want to add them on now. How do I do this?

Q: How do I pay my registration fee?

After you have registered, you should receive an invoice from the conference within one week from the registration.

There are different options for how you want to receive your invoice; you can select the most convenient one when registering. You can choose to receive information of payment as an email or to receive an invoice:
•as an electronic invoice (NOTE: only available in Finland) or
•as a paper invoice to a given address.

Practicalities

Q: I want to make sure that I am kept fully informed about this conference, and sent all relevant information about it. What should I do?

If you have registered to the conference and paid the conference fee, all relevant information will be automatically sent to the e-mail address provided in the registration form. If you want to ensure that you get more information – become a friend of the Solutions2011 in Facebook, follow the conference through Twitter or read the conference blog.

Q: Do I need a visa to attend the conference, and if so, can the Conference Secretariat help me with my entry visa application?

Visa requirement in the Schengen area and travel documents accepted by Finland (by country)

Finland belongs to the Schengen member states along with Austria, Belgium, Czech Republic, Denmark, Estonia, France, Germany, Greece, Hungary, Iceland, Italy, Latvia, Lithuania, Luxembourg, Malta, Netherlands, Norway, Poland, Portugal, Slovakia, Slovenia, Spain, Sweden and Switzerland. Citizens of the above mentioned countries don’t need to have a visa for entering Finland.
Foreign nationals free of visa can enter Finland (the Schengen area) presuming that they have a valid passport or another travel document accepted by Finland.

If you are a foreign national requiring a visa, you must always have one when entering the Schengen area. If you would ordinarily need a visa but have a residence permit valid in one of Schengen countries, you do not need a visa to enter another Schengen country if the in-tended duration of your stay is less than three months.

Foreign nationals who need a Schengen visa for travel to Finland are requested to apply it at the nearest Finnish mission.

Q: Will I get a receipt of participation when I arrive at the conference?

We can provide you with a certificate of participation if you request it.

Q: What materials will I get when I arrive at the conference?

You will receive a conference book, including the programme, participant list, a map, extra information on praxis and side events.

Q: Will I receive a full list of participants including email addresses when I arrive at the conference?

You will receive a full list of participants. If the participant has given the right to publish his/her e-mail address, that is included in the list.

Q: Is there a specific dress code for the conference sessions or for any of the other conference events?

Q: How do I book accommodation for the conference?

When you register for the conference you’ll find the different hotel options, you can also find them under the headline ‘accommodation’. Every hotel has a link to their web page where you can reserve accommodation on line. Don’t forget to mention the reservation code: Solutions2011.
